TurboSearch WS User Manual


Scope of User Manual:

This user manual is designed to support users of TurboSearch WS desktop application as well as subscribers of Provider Web Service calls. The user manual provides a detail understanding of the product and how users can understand and utilize all available features of the product to get the maximum benefits it can avail.

Target User Group:

The user manual primarily targets all subscribers of the product and services offered by NPI Data Services. Some of the target user groups are:

     1. Facility and Professional Claim Billers
     2. Medical Transcriptionists
     3. Clearinghouses
     4. Claims Processors
     5. Payer Organizations (network provider management, outreach program managers etc)
     6. Provider Service Organizations

About TurboSearch WS:

TurboSearch WS is a desktop application that performs multiple search operations to identify NPI and related data of any US healthcare provider using web service. The application executes from the desktop and each search function of the application pulls NPI data from the Web through Provider Web service call. No need to store a large data set on the local desktop.Based on the search criteria provided, it instantly retrieves NPI details, demographic details, specialty, license and other IDs.

The advanced search capabilities and rapid result display makes it a more effective and efficient application to have on your desktop for all NPI related needs. The capabilities includes, but not limited to, user friendly menus, tabbed graphical user interface, which helps to find and retain the required provider data in an extremely easy and fast way.

Installing the Application:

After the purchase process is complete, the TurboSearch WS application can be found in the "Available for Downloads" section in the website when you login to the site.

To install the application:

1. Download the file Install_Turbo_Search_WS.zip from www.npidatservices.com, and save it on your computer.
2. Unzip and extract the file Install_Turbo_Search_WS.msi.
3. Run Install_Turbo_Search_WS.msi. It opens up an installation wizard as below:

4. When you click “Next”, it opens up the below screen where the user can specify desired location for “TurboSearch WS” application installation using ‘Browse’ option of the window. The default option is to install under ‘Program Files’. The radio button option at the bottom left of the screen can be used to let the application used by the current user or any user of the computer.

5. When you click “Next”, it opens up below screen to confirm the start of installation.

6. When you click “Next”, it opens up below screen. It will ask for you to confirm the end user license agreement.

7. When you "Agree" and click “Next”, it begins the installation on your computer and the progress bar is shown as below.

8. When the installation completes, it will show the below screen. Click Close to acknowledge the installation complete.

9. TurboSearch WS is now ready to use. Use “All Programs” in Start menu bar to access “TurboSearch WS” application.

Setting up the License:

When you purchased the TurboSearch WS application with one year web service subscription, you will receive an user name and password in an email with subject “Npi Data Services Webservice Details”. The access details are need to be configured in TurboSearch WS application before the first use. A Settings dialog box (as shown in the below screen shot) will appear when you open up the TurboSearch WS the first time. Before using the application, the license detail, which consists of the User Name and Password, need be entered in the License tab on settings dialog. Please be aware that anyone registering for Trial version of this product will not require to enter password detail neither it is a required field.

To manually edit or enter you license details:

1.Click the File menu.
2.Click Settings. The Settings dialog box appears. There are two tabs – one for entering the license information and another one for choosing the default application settings.

The TurboSearch WS Trial application will have Settings dialog as below. Please be aware that anyone registering for Trial version of this product will not require to enter password detail neither it is a required field.

3.In User Name, enter the user name given to use the web services.
4.In Password, enter the password given to use the web services.
5.Click OK.
6.You can view the current license information by opening License Viewer from the Help menu. License Viewer is unavailable in Trial version.

In Settings dialog, there is a second tab named “General”. This configuration is not mandatory and can be done at any time user wants.

To do the General configuration

1. Choose the State Code you want the search criteria to show by default. For eg, If you will be searching “Michigan” state providers very often, choose “MI” as Default Search State.
2. Choose the Provider Type if you want the search criteria to show by default. If you will be searching individual providers, choose “Individual” as Default Provider Type.
3. You can make the application to prompt you when it is exited.


Performing a New Search:

Using TurboSearch WS, you can look up the provider details by:

     • NPI – National Provider Identification number.
     • UPIN – Unique Provider Identification Number.
     • Individual Name – Individual Provider name.
     • Organization Name – Organizational Provider name.
     • Contact Number – Provider phone or Fax number.
     • State License – Provider State License Code.
     • Taxonomy Description – Provider Specialty or Taxonomy description.
     • Taxonomy Code – Provider Specialty or Taxonomy Code.

Note: Depending upon your search criteria, the search result may display one or more provider records. By searching NPI, UPIN, and State License Code, only one provider record will be returned. Searching by Individual Provider Name, Organization Provider Name, Contact Number, Taxonomy Description and Taxonomy Code will return one or more matching provider record(s).

Searching By NPI:

The National Provider Identifier (NPI) is a unique number to identify the providers across US. Using NPI, you can easily find a provider’s detailed information, such as his or her name, taxonomy, practice address, phone number, fax number and more.

To find a provider using NPI:

1. Click the NPI tab or use shortcut key Ctrl + 1. A box to enter the NPI number appears on the screen
2. Enter the ten-digit NPI number of the provider in the NPI box.
3. Click the Search button or press Enter. The Search Results section displays the provider details with NPI.

Note: A NPI number must be a ten-digits numeric.

Searching By UPIN:

You can find a provider detail by searching through UPIN.

To find a provider through UPIN:

1. Click the UPIN tab or use shortcut key Ctrl + 2. A box to enter UPIN appears on the screen.
2. Enter the six characters UPIN of the provider in the UPIN box.
3. Click the Search button or press Enter. The Search Results section displays the complete record of the provider with NPI.

Note: The UPIN must begin with an alphabet followed by a 5-digit numeric number.

Searching By Individual Provider Name:

You can find a provider detail by searching through his or her name. To find an individual name:

1. Click the Individual Name tab or use shortcut key Ctrl + 3. A box appears on the screen to enter individual provider name and other details.
2. In the Last Name box, enter the last name of the provider. To perform a wildcard search, enter minimum three characters and to perform the exact search, enter with less than three characters.
3. In the First Name box, enter the first name of the provider. To perform a wildcard search, enter minimum three characters and to perform the exact search, enter with less than three characters.
4. Click the State dropdown box to select a State code.
5. Type the exact city name in the City box. You can also select a city from the drop-down list by typing a few initial characters of the city name in the box.
6. Enter the 5-digits zip code in the Zip field OR City name in City box. Both City and Zip code can be entered to do search.
7. Click the Search button or press Enter. The Search Results section displays the complete record of the provider details with his/her NPI.

Note: The first 3 characters of Provider Last Name and First Name, State, and City are chosen in this case.

Searching By Organizational Provider:

You can find a provider detail by searching through organization name. To find an organization provider:

1. Click the Organization Name tab or use shortcut key Ctrl + 4. A box appears on the screen to enter organizational provider name and other details.
2. Enter the organization name in the Organization Name box. To perform a wildcard search, enter minimum three characters and to perform the exact search, enter with less than three characters.
3. Click the State dropdown box to select a State code.
4. Type the exact city name in the City box. You can also select a city from the drop-down list by typing a few initial characters of the city name in the box.
5. Enter the 5-digits zip code in the Zip field OR City name in City box. Both City and Zip code can be entered to do search.
6. Click the Search button or press Enter. The Search Results section displays the complete record of the provider with NPI.

Note: The first 3 characters of organization name, State code, City are chosen in this case.

Searching By Contact Number (Phone or Fax Number):

You can find a provider detail by searching through the business practice location phone number, fax number, or business mailing phone number or fax number.

To find a provider detail through contact number:

1. Click the Contact Number tab or use shortcut key Ctrl + 5. Enter the phone number or fax number of the provider in the Phone or Fax Number field.
2. Click the Provider Type dropdown, and select Individual or Organization as a type from the dropdown list.
3. Click the Search button or press Enter. The Search Results section displays multiple records of the providers.
4. If you select the Provider Type as Organization, the search result will display a list of organizations that have the contact number you entered. If enter the Provider Type as Individual, the result will display a list of individual practitioners.

Note: The phone number entered must be in the following format: (987) 654-3210.

Searching By License:

You can find provider details by searching through State License number/code. To find a provider through state license number or code:

1. Click the State License tab or use shortcut key Ctrl + 6. A box to enter the license number appears on the screen.
2. Enter the state license number in the State License field.
3. Click the Search button or press Enter. The Search Results section displays the list of all the providers in the state who have that state license number and belong to the state you entered.

Searching By Taxonomy Description:

You can find provider details by searching through taxonomy description. To find a provider through taxonomy description:

1. Click the Taxonomy Description tab or use shortcut key Ctrl + 7.
2. Select a Taxonomy Description from the drop-down list. The list includes taxonomy details of the provider.
3. Click the Provider Type down arrow, and select Individual or Organization as a type from the drop-down list.
4. Select a valid state from the State drop-down list.
5. Type the exact city name in the City field. You can also select a city from the dropdown list by typing a few initial characters of the city name in the field.
6. Enter the 5-digits zip code in the Zip field OR city name in City field. Both City AND Zip code can be entered to do search.
7. Click the Search button or press Enter. The Search Results section displays the complete record of the provider with NPI.

Searching By Taxonomy Code:

You can find provider details by searching through taxonomy code. To find a provider through Taxonomy Code:

1. Click the Taxonomy Code tab or use shortcut key Ctrl + 8.
2. Select a Taxonomy Code from the dropdown list. The list includes taxonomy codes of the provider.
3. Click the Provider Type dropdown, and select Individual or Organization as a type from the dropdown list.
4. Select a valid state from the State dropdown list.
5. Type the exact city name in the City field. You can also select a city from the dropdown list by typing a few initial characters of the city name in the field.
6. Enter the 5-digits zip code in the Zip field OR city name in City box. Both City AND Zip code can be entered to do search.
7. Click the Search button or press Enter. The Search Results section displays the complete record of the provider with his/her NPI.

Managing Search Criteria:

You can save search criteria for future use. By saving, you need not re-type a particular provider search criteria each time you need rather open the search criteria. This feature is very useful if you repeatedly need to use a set of criteria.

To save search criteria:

1. Once the search results appear in the Search Results area, either click the Save button or click “Save Criteria” from the File menu or enter shortcut key Ctrl + S.
2. In the Save As dialog box, choose a directory location, type the file name in the File Name box, and then click the Save button. The search criteria is now saved in a file at the specified location.
You can also open your saved criteria from the File menu.

To open search criteria:

1. Click the File menu, and point to Recent Searches. An absolute path for each file you saved is displayed in the sub-menu that opens the Recent Searches criteria.
2. Click File Menu and “Open Search” or enter short cut key Ctrl + O.
3. TurboSearch WS will open with the search criteria you had given initially. You just need to click the Search button to execute the criteria.





Managing Favorite Lists:

Using TurboSearch WS, you can build your favorite lists of providers. You can open the Favorites screen by pressing the shortcut key Ctrl + F or selecting “Favorites” under “Windows” menu, you can add one or more of your search results to Favorites. After your providers are added to favorites, you can save to the same favorites list or you can save it as a different favorite list.

You can create a new favorite list by opening up a favorites list. You can also open up an existing Favorites list and work on it.

To add a search result to Favorite:

Right-click on a search result, and choose “Add To Favorites” and those result will be added to the Favorites list. You can add upto 1000 providers to one favourites list. You can simultaneously choose and add more than one result to the Favorite list.

To create a New Favorite list:

1. In the Favorite pane, click the New Favorites List button

2. Add your providers from Search Results to Favorites by right click on a result row and choose “Add to Favorites”. You can add up to 1000 providers to one favourites list.

3. Click Save or Save As button, a pop-up appears, asking you to confirm the location where you want to save your Favorite list.

4. In File Name, type the file name and click Save. The provider details you added to the Favorites list is saved in an .XML file.

To save the current Favorite list:

In the Favorite pane, click the Save the current favourites list button.

To Open a Favorites List:

1. Click the Open button on top of the Favorites Pane

2. Go to the location of the Favorites XML file and choose it to open. The list will be opened up.


Viewing Details and Generating PDF Reports:

By using the TurboSearch WS, you can view the detailed report of a particular provider record. The report includes the basic information, contact information, and licensing and identification information of a provider. You can print the report and also save it as a PDF file.

To view a provider report:
1. Perform a provider search
2. From the Search Results area, right-click a particular provider record, and click View Details/Report.

3. The report appears on the screen. It is horizontally divided in three sections: Basic Information, Contact Information, and Licensing, Identification Information.

The Basic Information section displays the following information:

     • NPI
     • Provider Name
     • Other Name
     • Provider Type
     • Replacement NPI
     • Employer ID or Gender
     • Last Updated Date
     • Deactivation Reason Code
     • Deactivation Date
     • Reactivation Date

The Contact Information section displays the following information:

     • Business Practice Address
     • Business Mailing Address
     • Practice Phone Number
     • Practice Fax Number
     • Business Phone number
     • Business Fax Number

The Licensing, Identification Information section displays the following information:

     • Taxonomy Code
     • State License Code
     • State Code
     • Switch
     • Taxonomy Description
     • Other ID
     • State
     • Issuer
     • Description

4. Click the Save as PDF button, if you want to save the report as a PDF file.

5. Click the Print button if you want to print the report.
